CRM Clean up
Here is an approach to cleaning up your CRM, along with relevant resources:
Contacts without an "Email" value
- Filter your contacts by the contact property "Email" is "unknown" to identify any contacts in your CRM without an email address.
- HubSpot uses the "Email" field to prevent duplicates, and email is often seen as a primary method of communication, so in general, if a contact doesn't have an email, it's usually safe to delete; however, it's always best to check with who created the contact as perhaps there is a reason it was added without an email.
Duplicates
- Manually deduplicate contacts - This documentation walks through using HubSpot's duplicate management tool to review potential duplicates, and merge them where applicable.
Bounces/Unsubscribes
- Delete contacts who no longer receive your marketing emails - This documentation provides quick ways to identify contacts who have bounced or marked your emails as spam (though it's important to consider if there are contacts you'd like to keep, even if you can no longer send them marketing emails)
- For Unsubscribes - You can build a list using the contact property "Unsubscribed from all email" is equal to "True"
- Email Validation Tools - There are 3rd party email validation tools out there (such as kickbox.com or neverbounce.com) that can help you scan lists of emails to see how likely they are to bounce. This is more of a preventative measure to ensure new contact imports don't include potential bounces.
"Unengaged" contacts
- Understand graymail and avoid sending email to unengaged contacts - This documentation walks through how HubSpot defines unengaged contacts, and specifically relates to their interactions with Marketing Emails
- Here are other contact properties to consider as filters:
- Last activity date: the last date and time a note, call, tracked and logged sales email, meeting, LinkedIn/SMS/WhatsApp message, task, or chat was logged on the contact record. This is set automatically by HubSpot based on the most recent date/time set for an activity. For example, if a user logs a call and indicates that it occurred the day before, the Last activity date property will show yesterday's date.
- Recent sales email open date: the date of the last time that the contact opened a sales email. This property does not update for emails that were sent to more than one contact.
- Sends since last engagement: the number of marketing emails that have been sent since the last engagement, specifically email open or link click.
- Time of last session: the last time and date the contact visited your website. This is automatically set by HubSpot for each contact.
- Recent conversion date: the date the contact last submitted a form.
